In short
- The main risks to a work phone today are fake SMS and WhatsApp messages, harmful apps, outdated software and plain loss or theft, not exotic malware.
- With Microsoft 365 Business Premium you can protect company data on personal phones through Intune app protection policies, without taking control of the whole device.
- The UAE Personal Data Protection Law (PDPL) has been in force since 2 January 2022, but as of October 2026 its executive regulations had still not been issued, so treat it as a duty of care rather than a checklist.
- A one-page policy and a written lost-phone procedure matter as much as the technical settings.
If your staff read company email, open Teams and talk to clients on WhatsApp from their own phones, you already have a BYOD (bring your own device) office. The practical answer is not to ban personal phones, but to put company data inside managed apps, require multi-factor sign-in, block outdated phones and be able to delete company data remotely without touching the employee’s photos and chats.
Below: the real threats, the legal background, the Microsoft tools most small offices already pay for, and two checklists.
What actually threatens a work phone in 2026
Fake messages. In February 2026 the UAE Cyber Security Council said fraudulent messages had spread by about 35% over the past year, with scammers impersonating government bodies and trusted companies to obtain personal and financial data (Khaleej Times / WAM). Warning signs: urgency, impersonal wording, offers too good to be true and phrases like “verify your bank account”. On a phone, a single tap on such a link can hand over a Microsoft 365 password.
Harmful apps. On Android, Google Play Protect checks apps before download, scans the device for harmful apps from other sources and may block unverified apps that ask for sensitive permissions often used in financial scams (Google Play Help). It is on by default; your policy should keep it on and ban apps from outside official stores.
Outdated software. The Android security bulletin of November 2026 lists a critical flaw that could allow remote code execution with no user interaction (Android Security Bulletin).
Loss and theft. What matters is whether company data on the phone is protected and whether you can cut access in minutes.
What UAE law expects
Federal Decree-Law No. 45 of 2021 on Personal Data Protection applies to personal data processed fully or partly by electronic systems, and it came into force on 2 January 2022 (u.ae). Some data is excluded, for example government data and health and banking data covered by their own laws, and companies in free zones with their own data protection rules, such as DIFC and ADGM, follow those regimes (Simmons & Simmons).
The status in late 2026 needs care. In October 2026 lawyers at Ashurst said the executive regulations “have not yet been issued”, the UAE Data Office is “still not operational”, and there has been very limited onshore enforcement, while DIFC and ADGM enforce their rules actively (Ashurst). In practice: the law is in force, detailed rules are pending, and you should be able to show that client data on phones is protected and can be removed. For a specific case, ask a UAE lawyer.
WhatsApp and business data
Banning WhatsApp rarely works in the UAE, but the company cannot manage or wipe it on a personal phone. So set limits:
- No passport copies, Emirates ID scans, contracts or bank details in personal WhatsApp chats. Documents go through Outlook, Teams or OneDrive, which you can protect.
- Client-facing numbers that belong to the company run on a company SIM, so the number and chat history stay when an employee leaves.
- Two-step verification is turned on in WhatsApp (WhatsApp Help Center), and nobody shares a verification code, whoever asks.
Technical controls in Microsoft 365
Microsoft 365 Business Premium, for organisations of up to 300 users, includes Microsoft Intune Plan 1, and Microsoft recommends mobile app management for personal phones (Microsoft Learn). If you are on a lower plan, check what your Microsoft 365 licences include before you plan.
App protection policies without enrolling the phone
Intune app protection policies work at app level, with or without device enrolment. They can require a PIN or fingerprint for work apps, block copying work data into personal apps, encrypt work data and wipe only company data from the apps (Microsoft Learn). Personal accounts and data are untouched. On Android the Company Portal app must be installed, even without enrolment. Microsoft’s baseline for Business Premium: block backup of org data to iCloud, allow sending org data only to policy-managed apps, and allow saving copies only to OneDrive and SharePoint.
Conditional Access and MFA
A Conditional Access policy with the “Require app protection policy” grant lets phones reach company data only through protected apps; Microsoft advises using this grant for new policies, as the older “Require approved client app” grant is being retired. The phone must be registered through a broker app: Microsoft Authenticator on iOS, Company Portal on Android (Microsoft Learn). In Business Premium, multi-factor authentication with an app such as Microsoft Authenticator is required by default.
When you need more: work profile and User Enrollment
| Option | What the company controls | Fits when |
|---|---|---|
| App protection only (no enrolment) | Work data inside Outlook, Teams, OneDrive, Office apps | Most small offices using Microsoft 365 |
| Android Enterprise personally owned work profile | A separate work profile with its own apps; personal side stays untouched | Staff need several work apps on Android |
| Apple account-driven User Enrollment | Only the organisation’s accounts, settings and data; limited restrictions | iPhone users who need managed work apps or settings |
On Android, personal apps and data stay outside the work profile and unaffected by Intune (Microsoft Learn). Apple’s User Enrolment is designed for personally owned devices (Apple Platform Deployment).
Updates, supported versions and backups
Apple calls keeping software up to date “one of the most important things you can do” for security. On 26 October 2026 it released iOS 27.2, together with iOS 26.7.2 and iOS 18.7.11 for older devices (Apple security releases). On Android, a security patch level of 2026-11-05 or later covers all issues in the November 2026 bulletin. In app protection policies you can set a minimum OS version or Android patch level and block or warn users below it. A phone that no longer gets updates from its maker should not open company data.
Backups: company files and mail should live in OneDrive, SharePoint and Exchange, not on the phone, so a lost phone costs only the device. Personal backups are the employee’s job.
One-page BYOD policy checklist
- Which apps may access company data (for example Outlook, Teams, OneDrive, Office) and which may not.
- Minimum requirements: screen lock, current OS version, Play Protect on, no rooted or jailbroken phones, apps only from official stores.
- MFA with Microsoft Authenticator for every account; no shared verification codes.
- What the company can and cannot see or do on a personal phone, in plain words, signed by the employee.
- Rules for WhatsApp: no client documents in personal chats; company numbers on company SIMs.
- Where files are saved: OneDrive and SharePoint only.
- How fast a lost phone must be reported (for example within two hours) and to whom.
- What happens when someone leaves: company data wiped from apps, account disabled on the last day.
- Who reviews the policy, at least once a year.
What to do when a phone is lost
- Employee: report to the manager or IT immediately, by any channel.
- IT: in the Microsoft Entra admin center, select Revoke sessions for the user, and reset the password if the phone was unlocked or the password may be known (Microsoft Learn).
- IT: in Intune, create an app selective wipe request. Company data is removed the next time the app runs; it can take up to 30 minutes, and a phone that stays offline keeps local data until it connects (Microsoft Learn).
- Employee: on iPhone, use Find My and Mark as Lost; erase only as a last resort, and keep the phone in Find My (Apple Support). On Android, use the equivalent Google service.
- Employee: report the theft to the police and the mobile operator; block the SIM so the number cannot be used to receive codes.
- IT: check recent sign-ins for the account and disable the lost phone in the user’s list of registered devices.
- Manager: if client personal data may have been exposed, record what happened and ask your legal adviser whether clients or a regulator must be told.
How we can help
We set up Microsoft 365 security for small offices in Dubai: app protection policies, Conditional Access, MFA roll-out and a written BYOD policy as part of our information security services. For phones that need extra protection, we can also advise on mobile protection software, and handle lost-phone requests as part of IT outsourcing.
